The Sephora Life Lounge will be located in the Mariposa Ballroom located in Convention Center East, Level 2 of the Aria.
BOOTH INFORMATION
We will communicate all specific booth dimensions once all brand participation has been confirmed. Please note, your booth dimensions includes all elements of your booth's structure and design.
***Drape base plates, kick stands, lighting supports, flooring, AV equipment, and any other elements that make up your booth, must be within your dedicated footprint.
Maximum ceiling height will be 12 feet throughout the entire Sephora Life Lounge. If your set is taller than the max feet given, the Fire Marshall will require removal of the booth prior to opening.
This year, no ceilings will be permitted for any booths participating in the event. Also, no air compressed tanks or live animals are allowed on property at ARIA. There are no exceptions.
HOTEL GUIDELINES
Use of the Sephora Life Lounge space, does not include drayage, decorations (such as tables, chairs, carpet, specialty drapery), security, labor (such as carpenters, electricians and drapery installers), cleaning of booths, or storage of crates.
ARIA does not have storage space for crates, therefore you will need to utilize Viper Tradeshow Services, Inc. for any traveling sets or storage needs.
SCENIC DESIGN COMPANies
Our preferred scenic design suppliers are Blueprint Studios and Fresh Wata.
Due to loading dock parameters at ARIA, our preferred suppliers will receive loading dock priority. All vendors accessing the back of house areas of ARIA need to be pre-approved by Viper and will need to check in with building security to receive a badge for access.
Please have all flame certificates for any fabric materials in your booth on hand for the fire marshal to review.

Blueprint Studios own an extensive collection of set pieces, tables, chairs, upscale tablecloths, lounge furniture, thematic décor, and can offer full custom design services for your brand.
As Sephora's preferred scenic design provider, Blueprint Studios is extending a 10% discount on furniture rentals. This discount does not include custom set production.

FRESH WATA
Fresh Wata is passionate about impeccable interior design and attention to detail. They extend our imaginative concepts, skilled craftsmen, installers, wood & upholstery shop, and talented designers to our clients.
Fresh Wata is extending a 20% discount on furniture rentals. This discount does not include custom set production.

FLORAL & STYLING DESIGN
ALICIA K DESIGNS
Alicia K Designs is our preferred floral and styling company. They provide floral and styling design for any experiential booths or activations to help you bring your theme to life with flowers and supplemental décor to add that special touch to your booth.
As Sephora’s preferred floral and styling design vendor, Alicia K Designs is offering a 20% discount on services.
To coordinate your floral and styling needs, contact Alicia Falango at Alicia K Designs no later than Friday, May 15 for initial inquiries.

Please note:
Brand booths must be show-ready by Monday, August 3 at 8:00 AM.
The Sephora Life Lounge will end on Monday, August 3 at 4:00 PM. The breakdown must be completed between 4:00 PM - 10:00 PM to accommodate all brands and show schedules. There will be no exceptions.

SHIPPING
INSTRUCTIONS
SMALL PACKAGES MAILED TO THE HOTEL
Sephora is not responsible for moving and/or managing material assets onsite. Please adhere to the following recommendations:
For small packages (anything not being shipped with your freight and is not a pallet) we recommend reaching out to the Business Service Center at ARIA to coordinate the delivery of your shipments for your Sephora Life Lounge booth and for details package information.
We recommend that all packages arrive no earlier than Thursday, May 30.
Any package that arrives prior to May 30 will incur an additional storage charge, per day.
At the conclusion of the The Sephora Life Lounge, the Business Service Center will assist with loading out all packages for return shipments. Please contact them directly to coordinate.
Please download and complete the provided Shipping Label and affix them to ALL packages.

As a reminder, you are also responsible for transferring your packages to and from your booth and providing all packaging supplies.
FREIGHT SHIPMENTS
Any assets that require freight delivery to ARIA must be handled through Viper Tradeshow Services, Inc. Viper will manage all material handling, including drayage and freight deliveries into and out of the venue. There are no exceptions.
Viper can also assist with any array of services including inbound and outbound shipping, labor to assist with booth set up / strike and basic furniture rentals such as tables and chairs for a seamless process. ARIA requires all vendors accessing the loading dock to be pre-approved and scheduled. Viper is managing all dock schedules for SLC. All deliveries must be moved via back of house hallways by Viper Associates OR Preferred Personnel/Vendors that have a badge. No outside vendors are allowed to move through BOH without a badge and/or being approved on the Personnel list.
If a brand has a preferred freight shipping vendor, all assets need to ship to the Viper warehouse in Las Vegas, as listed below. Viper will deliver all freight to your booth, provide removal and storage of the empties, return of empties at the close of Brand Fair and handle the freight to load onto your preferred outbound carrier.
Sephora is not responsible for managing freight, drayage and/or furniture rentals on behalf of the brands. Please contact Viper directly and reference Sephora to take advantage of our pre-negotiated rates for all freight and material handling. Please refer to the Viper forms for additional freight and material handling information.

EXHIBITOR SERVCES
Onsite technical Support
Encore is available onsite for all technical equipment at ARIA, including audio, video, lighting, Wifi, and rigging and truss (ground supported or rigged) for all booths.
Elden is the exclusive provider onsite for all power / power distribution.
No DJs or loud music are allowed to be played from individual brand booths. Overall event music will be provided from Sephora Corporate Events.
Refreshments
You are more than welcome to serve light fare and beverages to compliment your brand, however in order to provide a consistent experience for our attendees, alcohol is restricted and may not be served at the Brand Fair event. Thank you for understanding.
Please note, only food and beverage purchased from ARIA may be served on hotel property.

DINING
There are many restaurants located at ARIA to satisfy your palette. It’s recommended to reserve a table in advance.
Insurance
Every brand needs to provide Sephora and The Cosmopolitan of Las Vegas with a certificate of insurance. If your brand is hiring any outside contractors to perform work on the premises, a Certificate of Insurance (COI) is also required. Once all brand participation is confirmed, we will request that you send us your COI. Please upload your certificate of insurance below no later than Friday, July 12.

Every brand and its third-party representative shall be fully responsible for any and all damages to property owned by Hotel which results from any act or omission of Exhibitor and/or its third-party representative. The brand and/or its third-party representatives agree to defend, indemnify and hold harmless Nevada Property 1 LLC dba The Cosmopolitan of Las Vegas, its owners, officers, directors, managers, employees, agents and affiliates from any losses, damages or charges resulting from Exhibitor's and/or third-party representative's use of the property, including all losses, costs, damages or expenses arising from, out of, or by reason of property damage, or bodily injury or death to any person or persons, (including, but not limited to, the brand, its third-party representative, their agents, employees, and business invitees) which arise from or out of the brands occupancy and use of the premises.
In addition, each brand and, if applicable, its third-party representatives, must provide a certificate of insurance evidencing the following coverage's: Commercial General Liability (on Form CG 0001 or equivalent) in the amount of $2,000,000 combined single limit. This policy shall name Hotel as additional insured and such coverage shall be primary as respects any insurance coverage's carried by Hotel. Workers Compensation providing statutory coverage and Employers Liability in the amount of $1,000,000. Such policy shall include a Waiver of Subrogation against Hotel.
Copies of the release of liability and certificates of insurance shall be provided to the hotel upon request.
